How to evaluate a workwear supplier in China before sampling
Evaluate a custom workwear supplier against a defined garment brief, a traceable sample and a written production agreement. A low quotation, a catalogue or a workshop video answers only part of the question. Your decision file should connect the business offering the order to the people making it, the approved materials and the checks required before shipment.
Separate business identity from manufacturing evidence
Ask which entity will quote, sign the order, receive payment and arrange export. If those names differ, request an explanation before paying. Ask which garment operations are performed at the proposed production site and which are subcontracted. Keep the answers alongside the quotation rather than relying on a conversation that the next buyer cannot review.
A factory visit or a dated video call can help you understand the workspace. Ask to see the operations relevant to your garment: panel handling, sewing, finishing and packing. A workshop clip does not establish production capacity, ownership of every machine or the performance of a finished garment.

Send the same brief to every shortlisted supplier
| Decision area | Evidence to request | Question to resolve |
|---|---|---|
| Garment definition | Drawing or sample reference, fabric description and measurement chart | Is the supplier quoting the same construction? |
| Order breakdown | Quantity by style, colour and size | Do material minimums apply to the whole order or each colour? |
| Development | Sample cost, proposed materials, revisions and approval record | What is included before bulk production? |
| Quality | Agreed measurement points, defect examples and inspection arrangement | How will conformity to the approved specification be checked? |
| Shipment | Packing proposal, named delivery point and included charges | Which costs and responsibilities remain with the buyer? |
Use a sample to test communication as well as construction
- Number the specification and record the sample version. Mark substitutions before accepting the sample.
- Measure the agreed points and photograph details such as pockets, closures, labels and reinforcement.
- Return one consolidated comments sheet. Separate required changes from optional improvements.
- Ask the supplier to confirm the revised specification, unresolved items and production assumptions in writing.
A sample that looks acceptable but has no material identification or measurement record is difficult to reproduce and inspect. Keep an approved reference and the associated specification available to both parties. Where a garment has a protective function, evaluate the exact product and relevant supporting evidence separately from general supplier qualifications.
Decide what would stop the order
Agree your decision rules before negotiating a deposit. Examples include an unexplained payment-entity mismatch, refusal to identify a proposed substitute fabric, or an unresolved difference between the approved sample and quotation. These are prompts for further investigation; an isolated discrepancy is not proof of fraud.
Workwear Solutions handles made-to-order OEM (original equipment manufacturing) and ODM (original design manufacturing) enquiries. Start with a sample, technical pack or reference image; minimum quantities, available materials and timing require project review. Browse our garment references to identify the shape and details you want to discuss.
Can a management-system certificate replace sample inspection?
No. Treat business documents, management-system documents, product test evidence and order inspection as separate records. Check the holder, scope and relevance of each document rather than accepting a logo as approval of your garment.
